Bookkeeping for Phoenix Mental Health Practices

Bookkeeping for therapists, counselors, and group practices across the Phoenix metro. Work directly with Aretha, remotely, from anywhere in the Valley.

Bookkeeping for Phoenix Practices

Phoenix is spread out. There is a practice in Ahwatukee, another in Arcadia, a small office suite off the Camelback Corridor, and plenty more in Scottsdale, Tempe, Mesa, Chandler, and Gilbert. What most of them have in common is a full caseload and a set of books that only gets attention late on a Sunday night.

Bookkeeping for therapists and other mental health professionals is all I do. I spent more than 15 years as a licensed nurse working in mental health before I moved into this work, so I already understand how a practice runs day to day and why your week leaves almost no room for QuickBooks. My clients across the Valley work with me directly, remotely, from wherever their practice happens to be.

Monthly Bookkeeping

Full-service monthly bookkeeping means your transactions get categorized, your bank and credit card accounts get reconciled, and you get reports each month showing what the practice actually earned and spent. If a number does not make sense to you, call me and I will walk you through it in plain language.

Catch-Up and Clean-Up

Some Phoenix practices come to me with months of activity that was never recorded. Others have books that were kept, just not well, full of duplicates and categories nobody believes anymore. I handle both, and I do it without making anyone feel bad about how it got that way.

Payroll and 1099s

If your payroll system is already up and running, I will run it every pay period so your clinicians and admin staff are paid on time. I do not set up new payroll systems. At year end I prepare and file 1099s for associates, contract supervisors, and vendors.

Tax-Ready Books

I do not prepare tax returns. What I do is keep your books in the shape your tax preparer wants to see, current and reconciled with clean categories, so filing season becomes a simple handoff and you are not digging through a year of bank statements.

Phoenix Practices I Work With

The Valley keeps growing, and the need for mental health care has grown right along with it. That shows up in the practices I hear from. A counselor who left agency work and already has a waitlist. A psychologist splitting the week between therapy hours and assessments. A psychiatric nurse practitioner running a high volume of shorter medication visits. A group practice that added its third associate this year and is not sure yet whether the growth is paying off.

They are all small, usually somewhere between one and ten people, and none of them have a back office. That is the gap I fill. If your books have gotten away from you, or you simply want someone else to own them, book a consultation with me and we can talk through where things stand.

Therapists and Counselors

Solo and small talk-therapy practices across Phoenix. Session revenue reconciled from your practice management system deposits to the bank, private pay and insurance payments arriving on their own separate rhythms, and a monthly picture of what a full week of clinical hours really brings in.

Telehealth Practices

Phoenix took to virtual care quickly, and many Valley practices now run mostly or entirely online. Telehealth practice bookkeeping means keeping up with platform and EHR subscriptions, merchant processing fees, and payouts that have to match the sessions behind them. A remote bookkeeper and an online practice fit together naturally.

Group Practices

Practices with associates, W-2 staff, and 1099 contractors. I record compensation splits and salaries the right way, keep contractor payments tracked all year, and report so you can see margin by clinician and decide whether the next hire makes sense.

ABA and Behavioral Health

Phoenix has a lot of families looking for behavioral services, and the practices serving them tend to be staff heavy with high session volume. I run payroll on schedule for practices whose system is already set up, track contractor payments, and reconcile the revenue that reaches your bank.

Questions About This Area

You're in California and my practice is in Phoenix. How does that work?

The same way it works for all of my clients. Everything happens remotely through QuickBooks Online, email, and video calls. In the summer Arizona and California are on the same clock, and in the winter you are an hour ahead of me, so finding a time between sessions is easy either way. You will always be working with me, not a rotating team.

What does monthly bookkeeping cost?

Full-service monthly bookkeeping starts at $165 per month. Where you land depends on how many accounts you have and how much activity runs through them. Catch-up and clean-up work is quoted per engagement once I have looked at what already exists.

Do you file my tax return?

No, I do not prepare tax returns. I keep your books accurate and current all year so your tax preparer receives a clean set of financials and does not have to send you a long list of questions in March.

My books are eight months behind. Should I be embarrassed?

Not at all. Falling behind is the most common reason a practice owner reaches out to me, and it usually happens because the caseload filled up. I record the missing months, reconcile the accounts, and get you current. Monthly service keeps it from happening again.

Do you handle insurance billing or claims?

No. I do not do billing, claims, credentialing, or coding. Your biller or your practice management system handles that side of things. My part is the bookkeeping, which means the deposits and payments that reach your bank get recorded and reconciled correctly.

Helping the People Who Help Others

Let's Start With
a Short Conversation

Tell me where your books stand right now, even if the honest answer is that nobody has looked at them in a year. I'll ask a few questions and give you a clear idea of how I can help.
