Bookkeeping for Kansas City Therapists and Counselors

Monthly bookkeeping, catch-up work, and payroll for private practices across the Kansas City metro. You work directly with Aretha.

Bookkeeping for Kansas City Practices

Kansas City sits right on a state line, and plenty of practices here work both sides of it. Clinicians licensed in Missouri and Kansas, an office in one state with clients driving in from the other, telehealth hours filling in around the commute. A practice like that needs records organized well enough to show what came in, what went out, and where it happened, without anyone digging through a shoebox in March.

I am Aretha Dirden. I spent more than fifteen years as a licensed nurse in mental health before I started keeping books, so nothing about your day needs explaining to me. Bookkeeping for therapists and other mental health professionals is the only work I do, and I do it remotely from Lancaster, California, for practices all over the country. When you hire me, you work with me. There is no account manager sitting in between us.

Monthly Bookkeeping

Transactions categorized, bank and credit card accounts reconciled, and a monthly profit and loss and balance sheet you can read between sessions. If a number looks strange to you, call me and I will walk you through it in plain language.

Catch-Up and Clean-Up

Some practices reach out with two years of statements they have never opened. Others have books that exist and numbers nobody believes. Both are normal places to start. I get you current, then keep you there.

Payroll for Practices With Staff

If your payroll system is already set up and running, I take the pay periods off your plate so associates and front desk staff get paid right and on time. I do not build new payroll systems, and I will tell you plainly if that is what you need first.

Tax-Ready Records

I do not prepare tax returns. What I do is hand your preparer complete, reconciled books along with year-end 1099s for the associates and contractors you paid, so the filing conversation is short and calm.

Practices Across the Kansas City Metro

The practices I work with in this metro look nothing alike. A solo counselor renting a room in a shared suite near the Plaza. A family counseling center in Lee’s Summit with four associates and a front desk. An ABA team spending its days driving to homes and schools from Independence out toward Olathe. A psychiatric nurse practitioner seeing almost every patient by video.

What they ask me for is the same short list. Books that are up to date, financials ready for tax time, a clear view of the practice’s financial health, and an honest answer about what the practice actually earns. Steady monthly bookkeeping covers all four. If you want to talk through where yours stand, book a consultation with me and we will take a look together.

Therapists and Counselors

Private pay and insurance payments arrive on different rhythms, sliding scale and no-show patterns move the numbers month to month, and personal spending has a way of blending in with practice spending. I sort that out and reconcile the deposits from your practice management system against what actually landed in the bank.

Group Practices

Associate compensation under splits or salary, W-2 staff and 1099 contractors sitting side by side, and reporting that shows margin per clinician. Group practice bookkeeping is where clean numbers tell you whether the next hire is a good idea or a good intention.

Psychiatric Nurse Practitioners

Shorter visits, higher volume, and a schedule with no gap in it for bookkeeping. I was a nurse in mental health for more than fifteen years, so we already speak the same language and I can keep your books moving without asking much of your time.

Telehealth Practices

Platform subscriptions, EHR fees, and merchant processing costs add up quietly. I reconcile processor payouts against sessions so your revenue and your fees are both recorded honestly, and I keep home office and equipment records organized for your tax preparer.

Questions About This Area

Do you work with practices on both sides of the state line?

Yes. Missouri and Kansas side both, from Independence and Lee's Summit over to Overland Park and Olathe. Everything happens remotely, so which side of State Line Road your office sits on makes no difference to how I work.

You are in California. Does that really work for a Kansas City practice?

It does. We meet by video, you share documents through a secure portal, and I am reachable by email and phone. My day runs two hours behind yours, so I am usually still at my desk when your last session of the afternoon ends.

What does monthly bookkeeping cost?

Monthly bookkeeping starts at $165. The exact number depends on how many accounts you have and how much activity runs through them. I will give you a real quote after I look at where your books stand.

Do you handle insurance billing or file my tax returns?

No to both. I do not do claims, billing, credentialing, or coding, and I do not prepare tax returns. I record and reconcile the money that reaches your bank and keep your books tax-ready for whoever prepares your returns.

My books are months behind. Do you take clients like me?

All the time, and there is no lecture coming. We start with catch-up or clean-up work to get you current, then move into monthly service so the pile never builds up again.

Let's Start With
a Short Conversation

Tell me where your books stand right now, even if the honest answer is that nobody has looked at them in a year. I'll ask a few questions and give you a clear idea of how I can help.
