Common Questions

Quick answers to the things practice owners usually ask me before we start working together.

How much does it cost?

Monthly bookkeeping starts at $165 a month. Payroll starts at $150 a month, bill payment and invoicing start at $85 a month each, year-end 1099s start at $100 for five forms, and a one-time QuickBooks Online setup with training starts at $400. Your actual price depends on how many accounts and transactions your practice has. I give you a flat quote in writing before any work begins.

My books have not been touched in months. Can you fix that?

Yes, and you are in better company than you think. Falling behind happens to good practice owners with full caseloads. Catch-up work is for books that were never done, and clean-up work is for books that were done but have miscategorized transactions, duplicates, or accounts that have never reconciled. Both are priced per engagement after I look at what you have. You will not hear a word from me about how it got this way.

Is there a contract?

No long-term contract. Monthly work runs month to month, and you can stop any time it stops being useful to you. Catch-up and clean-up projects are one-time engagements with the scope and price agreed in writing before I start.

How do I get my documents and information to you?

Most of it comes to me on its own once we're set up. Your bank and credit card feeds flow into QuickBooks Online, and I get the access I need there. For anything else, like a receipt or a statement, you send it through a secure upload link. I walk you through the whole setup during onboarding so you're not guessing.

Do we need to meet in person?

No. I work with practices coast to coast, so we handle everything by phone, email, and video call. If you happen to be near Lancaster, California and would rather sit down together, I'm glad to do that too.

What software do you work in?

QuickBooks Online for the books, and QuickBooks Payroll or Gusto for payroll. I'm a QuickBooks ProAdvisor, certified at Level 2 with the Gold Badge. If you don't have QuickBooks Online yet, I'll set it up for you with a chart of accounts built for a mental health practice rather than a generic template.

What do I need to do each month?

Very little once we find our rhythm. Answer the occasional question about an unusual transaction, send a receipt when I ask for one, and read the reports when they arrive. Most of my clients spend around fifteen minutes a month on their books. I'm always happy to walk through a report with you in plain language if a number surprises you.

Do you run payroll?

Yes, for practices whose payroll system is already up and running. I process each pay period in QuickBooks Payroll or Gusto so your clinicians and staff are paid correctly and on time. I don't set up new payroll systems, so if you're starting from nothing, get the system running first and then hand the ongoing work to me.

Do you file my taxes?

No, I don't prepare tax returns. My job is to keep your books accurate and closed out so your tax preparer or CPA has clean financials and doesn't come back with a long list of questions in March. I'm glad to work directly with whoever handles your return.

Do you handle insurance billing or claims?

No. Claims, billing, credentialing, and coding stay with your biller or your practice management system. My work picks up with the money that reaches your bank account. I reconcile those deposits against your records so you can see clearly what the practice actually earned.

How quickly do you respond, and can I just call you?

Yes, call or text. Every message comes straight to me, so you always know who you're talking to. I reply within one business day and usually sooner than that.

How soon can you start?

Usually within a week of our first conversation. If your books need catch-up or clean-up, we start there and get you current, then move into monthly bookkeeping so you don't end up behind again. If your books are already in decent shape, we can begin with the current month right away.
