Full-Service Bookkeeping
Monthly bookkeeping for mental health practices. Transactions categorized, bank and credit card accounts reconciled, and clear reports every month.
What This Is
This is the work at the center of what I do. Every month I bring in your practice’s transactions, sort them into the categories that make sense for a mental health practice, reconcile your bank and credit card accounts against the statements, and send you a short set of financial reports. Same rhythm every month, so the books stop falling behind.
If you are already behind, that is a normal place to start. Practices with months or years of transactions that were never recorded usually begin with Catch-Up Bookkeeping. Practices whose books were kept but ended up in rough shape usually begin with Clean-Up Bookkeeping. Once everything is current and accurate, monthly service keeps it that way.
The Monthly Routine
The Monthly Routine
Transactions from your business checking, savings, and credit cards get categorized. Every account gets reconciled against the statement so nothing is missing and nothing is counted twice. Office rent, EHR and software subscriptions, continuing education, liability insurance, merchant fees, and owner draws all land where they belong. Then I close the month.
What You Receive
What You Receive
A profit and loss statement, a balance sheet, and a short note from me about anything I noticed or need to ask you about. If something in the reports raises a question, you send me a message or we get on a quick call and I explain it in regular words.
Why This Matters
The practice owners I work with tell me the same four things. They want books that are up to date. They want financials that are ready when their tax preparer asks for them. They want to understand the financial health of the practice. And they want an honest answer about whether the practice is profitable.
When bookkeeping keeps getting pushed to a weekend that never arrives, all four of those slip away at the same time. Uncategorized transactions pile up. The bank balance becomes the only number you trust. Then tax season shows up and the guessing gets expensive.
Tax Time Without The Scramble
Tax Time Without The Scramble
I do not prepare tax returns. What I do is keep your books in a condition where your tax preparer can work straight from them, with every account reconciled and categories that hold up under review. That usually means fewer questions, less back and forth, and no surprise cleanup bill in the middle of April.
Decisions You Can Stand Behind
Decisions You Can Stand Behind
Adding an associate, raising your fee, keeping a second office, cutting a subscription you forgot you had. Those choices get much easier when you can see what the last six months actually looked like. Guessing at those numbers costs money quietly, month after month.
What Changes
Your books stay current all year. Reports arrive on a schedule instead of after a panic. You open them, spend a few minutes with them, and get back to your day. Nothing in them requires an accounting background to follow.
You also work directly with me. I spent more than 15 years as a licensed nurse in mental health before I opened this practice, so the language of your work is already familiar. I serve private practices across the country, most of them with one to ten people, and there is no account team to explain your world to.
Reports You Can Absorb Between Sessions
Reports You Can Absorb Between Sessions
I keep monthly reporting short and readable on purpose. Your schedule is full and the point is for you to understand your own numbers in a few minutes. Anything you want to look at more closely, just ask and I will walk you through it in plain language.
A Real View Of Profitability
A Real View Of Profitability
Once expenses are categorized honestly and every account is reconciled, you can finally see what the practice keeps after everything is paid. Many owners have never had a clear look at that number. If you would like one, book a consultation with me and we will start with where your books stand today.
Helping the People Who Help Others
Let's Start With
a Short Conversation
Tell me where your books stand right now, even if the honest answer is that nobody has looked at them in a year. I'll ask a few questions and give you a clear idea of how I can help.
