Bookkeeping for Pasadena Mental Health Practices

Bookkeeping for therapists, psychologists, and group practices in Pasadena. Aretha keeps your books current, reconciled, and ready for your tax preparer.

Bookkeeping for Pasadena Practices

I am Aretha Dirde, and bookkeeping for mental health professionals is the only work I do. My office is in Lancaster, about an hour up the 14 from Pasadena, and all of my work happens remotely. Distance has never gotten in the way of keeping someone’s books right.

Before this, I spent more than 15 years as a licensed nurse working in mental health. You will never have to explain what an intake is, why your Thursday looks nothing like your Monday, or what happens when a client cancels twice in a row. We can spend our time on your numbers instead.

Monthly Bookkeeping

Full-service bookkeeping starts at $165 a month. Transactions categorized, bank and credit card accounts reconciled, and a monthly report short enough to read between sessions. You end up knowing what the practice actually earned, not what it felt like it earned.

Getting Current

Most practices reach out to me behind. Missing months, or a year of entries nobody trusts. I record what was never recorded, correct what was recorded wrong, reconcile every account, and hand you books that hold up. Falling behind is common. Staying behind is the part we fix.

Payroll for Practices with Staff

If your payroll system is already up and running, I run it. Associates and admin staff paid on schedule, every pay period, so payday stops living in your head on Sunday night. I do not set up new payroll systems, so we will start with what you already have in place.

Tax-Ready Books

I do not prepare tax returns. What I do is hand your tax preparer books that are clean, reconciled, and organized, which makes that conversation a short one. If your preparer has a question about a number, they can come straight to me.

Pasadena Practices I Work With

Pasadena has a real concentration of clinical work. Suites along Colorado Boulevard and Lake Avenue, offices in the Playhouse District, practices built by people who trained in the area and stayed. Rent here is not cheap, which is one reason knowing your true numbers matters as much as it does.

The practices I serve usually run somewhere between one and ten people. Solo clinicians who finally want the books off their own desk, and group practices with associates, a biller, and someone at the front desk. The questions turn out to be the same in both places. What came in, what went out, and what is left. If that is where you are, book a consultation and bring your questions with you.

Therapists and Counselors

LMFTs, LPCCs, and counselors seeing clients in the office, online, or some of both. Private pay and insurance deposits arrive on their own schedules, and I reconcile them so your revenue picture matches what actually reached the bank.

Psychologists and Testing Practices

Assessment work does not bill like a fifty minute session. Multi-hour batteries, report writing time, and consulting income all land at different rates. Bookkeeping for psychologists keeps those pieces separated so you can see which part of the practice is carrying the rest.

Group Practices

Associate splits, W-2 staff, and 1099 contractors recorded the way they actually happened, with reporting that shows what each clinician contributes after their pay. When you are weighing whether to add another associate, a guess is an expensive way to decide.

Telehealth and Hybrid Practices

A lot of Pasadena clinicians kept a small office and moved most of their sessions online. Platform subscriptions, processor fees, and payouts get reconciled one by one instead of dumped in a single pile, so you can see what running an online practice really costs.

Questions About This Area

You're in Lancaster. Can you still work with my Pasadena practice?

Yes. Every client I have works with me remotely, whether they are an hour down the 14 in Pasadena or three time zones away. Your books live in QuickBooks Online, documents get shared electronically, and we talk by phone or video whenever you want to.

What does monthly bookkeeping cost?

Monthly bookkeeping starts at $165 a month. The exact number depends on how many accounts you have and how much runs through them. I quote you after a short conversation, and the price stays where I put it.

My books are almost two years behind. Is that a problem?

It is the most common reason people call me. I record the missing months, reconcile the accounts, and bring everything current, then keep it current going forward. You will not hear a word of judgment from me about how it happened.

Can you run payroll for my associates?

If your payroll system is already set up and running, yes. I process each pay period so your clinicians and staff get paid on time. I do not build new payroll systems from scratch, so tell me what you are using now and I will let you know honestly whether I can take it over.

Do you prepare tax returns or handle insurance billing?

Neither one. I keep your books tax-ready and work with whoever prepares your return so they have clean numbers to start from. Claims, credentialing, and coding stay with your biller. Bookkeeping is my side of the desk.

Let's Start With
a Short Conversation

Tell me where your books stand right now, even if the honest answer is that nobody has looked at them in a year. I'll ask a few questions and give you a clear idea of how I can help.
