Bookkeeping for Salt Lake City Mental Health Practices

Bookkeeping for therapists, counselors, and mental health practices in Salt Lake City. Work directly with Aretha, remotely, with books that stay current.

Bookkeeping for Salt Lake City Practices

I’m Aretha, and private practice bookkeeping for mental health professionals is the only thing I do. Before this I spent more than 15 years as a licensed nurse working in mental health, so nobody has to explain intakes, no-shows, group work, or what a Sunday spent on notes feels like. Salt Lake City clinicians are some of the people I hear from most.

Everything happens remotely from my desk in Lancaster, California, which is an hour behind you. The practical version of that is simple. You send me statements and questions when your clinical day ends, and I am usually still working. You also work with me every month, the same person, start to finish.

Monthly Bookkeeping

Transactions categorized, bank and credit card accounts reconciled, and a monthly report you can read between sessions. Books stay current, so you always know what the practice earned and what it kept.

Catch-Up and Clean-Up

Months or years that were never recorded, or entries that were done in a hurry and nobody trusts now. I sort out which situation you are in, fix it properly, and hand back books you can believe.

Payroll Each Pay Period

If your payroll system is already set up and running, I process it on time every period so your clinicians and front desk get paid right. I do not build payroll systems from scratch, and I will tell you that up front.

Tax-Ready Records and 1099s

Your books stay organized all year so January is a handoff to your tax preparer. I also prepare year-end 1099s for associate clinicians, contract supervisors, and vendors.

Salt Lake City Practices I Work With

There are a lot of clinicians in this valley. Offices around 9th and 9th and in Sugar House, suites downtown, practices spread through Millcreek and Cottonwood Heights and south into Draper and Sandy, and plenty of people seeing clients from Logan to St. George by video. Many of those practices were started by someone who came out of an agency, a hospital, or a treatment program and decided it was time to build something of their own.

What I hear most often is that the clinical side is going well and the money side is the part that keeps sliding to next weekend. Steady monthly bookkeeping takes care of that quietly. Records current, reports every month, and someone who will explain what those numbers mean in plain language.

Therapists and Counselors

Solo and two-person practices doing individual, couples, and family work. Private pay and insurance payments arrive on different rhythms, and I reconcile both so your reports match reality. Sliding scale and cancellation patterns show up in the numbers instead of hiding in them.

Addiction and Recovery Counselors

The Salt Lake area has a deep recovery community, and bookkeeping for recovery-focused practices has its own shape. Group sessions and individual hours at different rates, payment arrangements that flex with the people you serve, and books that keep a mission-driven practice honest with itself.

Group Practices

Once you add associates, the books decide whether growth is actually working. I record clinician compensation correctly, keep W-2 staff and 1099 contractors separated, run existing payroll on schedule, and show you margin per clinician before you hire the next one.

Telehealth and Prescribing Practices

Utah is a big state, and a lot of Salt Lake practices serve clients hours away by video, including medication management visits. Platform and EHR subscriptions, merchant processing fees, and payouts all get reconciled properly. If this sounds like your practice, book a consultation and tell me how it runs.

Questions About This Area

You're in California. Can you keep the books for my Salt Lake City practice?

Yes. I work with practice owners all over the country and everything happens remotely, through secure document sharing, email, and calls. Lancaster is an hour behind Salt Lake City, so a question you send after your last session of the day usually reaches me while my afternoon is still going.

What does it cost?

Monthly bookkeeping starts at $165 a month. Payroll processing starts at $150 a month for practices whose payroll system is already running. Catch-up and clean-up work is quoted per engagement after I see what already exists, so you know the number before anything begins.

My books are months behind. Is that going to be a problem?

No. It is the most common reason people reach out to me. I take whatever you have, record and reconcile period by period until you are current, and then keep it current from there. You will never hear a lecture from me about how it got that way.

Do you prepare my tax return?

I do not prepare returns. My job is to keep your books accurate and organized all year so your tax preparer here in Utah, or wherever they happen to be, has clean records to work from. I am happy to answer their questions directly when they have them.

Do you handle insurance billing or claims?

No. I do not do claims, credentialing, or coding. My work begins where the money lands. I reconcile the deposits and payments that reach your bank against the reports from your practice system, so your books show what you actually collected. You keep your biller, and I keep the books.

Let's Start With
a Short Conversation

Tell me where your books stand right now, even if the honest answer is that nobody has looked at them in a year. I'll ask a few questions and give you a clear idea of how I can help.
