Bill Payment
Rent, software subscriptions, insurance, and vendor bills tracked, scheduled, paid on time, and recorded cleanly in your books.
What I Handle
A private practice does not have a hundred bills. It has maybe fifteen or twenty, and they show up in fifteen or twenty different places. Rent by check or transfer. Your EHR on a card. Your scheduling tool, your telehealth platform, your note-taking add-on, your email and storage subscriptions. Liability insurance once or twice a year. The office supply order, the answering service, the accountant, the landlord’s parking fee. Small amounts, scattered dates, and all of it living in your inbox.
I take that list and turn it into something orderly. I keep track of what is due and when, schedule the payments, make sure they go out on time, and record each one in your books the same day it happens. You stay in control of the money and approve what needs approving. What you stop doing is remembering.
Bills Tracked in One Place
Bills Tracked in One Place
Rent, EHR and software subscriptions, liability insurance, supplies, contractors, and vendors, all listed with amounts and due dates. Recurring charges get watched too, so a price increase or a renewal you forgot about does not slip by unnoticed.
Paid on Time and Recorded Right
Paid on Time and Recorded Right
Payments get scheduled ahead of the due date and entered into the books with the correct category and vendor. Nothing sits in a pile waiting for you to get to it, and nothing shows up later as a mystery charge you have to go looking for.
Why Practice Owners Ask for This
Most of the practice owners I work with are the only person handling the business side. You see clients all day, and the administrative work waits until evening or Sunday. Bills are the part of that pile that carries a little dread, because a missed one has consequences. A card declines and your EHR locks you out on a Monday morning. A late fee appears. An insurance premium lapses and you have to make phone calls you do not have time for.
So you end up checking. You log in to see if the rent cleared. You scroll your email looking for that renewal notice. You keep a running list in your head that never quite empties. It is not hard work. It is just always there, and it takes up room you would rather give to your clients or your family.
The Mental Load Goes Away
The Mental Load Goes Away
This is the part clients tell me about most. Not the hours saved, though there are some. It is the relief of knowing the bills are somebody’s job now and that somebody is not you. You can close your laptop after your last session without a list running in the back of your mind.
Fewer Small Losses
Fewer Small Losses
Late fees, duplicate subscriptions, and services you stopped using months ago add up quietly. When one person is looking at the whole list every month, those things get noticed and brought to your attention while you can still do something about them.
How It Fits With Your Books
Bill payment works best sitting right next to your monthly bookkeeping, because it is the same information handled once instead of twice. When I pay the bill, I am already recording it, so your expense categories stay accurate all month long and month-end reconciling gets simpler. Most clients pair this with Full-Service Bookkeeping, and some add Invoicing so both sides of the money, what comes in and what goes out, are covered.
Clean payables also mean your expense picture is real. When you look at your monthly report and see what the practice spends on software or rent or insurance, that number is complete, not missing the three bills still sitting unopened. That matters at tax time too, since your books go to your tax preparer already organized. I do not prepare returns, and I want what I hand off to make their job easy.
You Still Decide Everything
You Still Decide Everything
I do not spend your money without you. We agree on what is routine and gets paid automatically, and anything new, unusual, or larger than expected comes to you first. You get a clear record of every payment made, so there are never surprises about where the money went.
Start With a Conversation
Start With a Conversation
Tell me what your bills look like and who you pay each month, and I will tell you plainly how I would handle it and what it would cost. Book a consultation with me and we will talk it through. You will be working with me directly, the same person doing the work every month.

a Short Conversation
Tell me where your books stand right now, even if the honest answer is that nobody has looked at them in a year. I'll ask a few questions and give you a clear idea of how I can help.
