What This Is

If your practice pays contractors, January brings a deadline. Associate clinicians working on a 1099 basis, the supervisor you contract with for consultation hours, the person who handles your website, the cleaning service for the office. Anyone you paid enough to over the year needs a form, and the copies need to reach both the contractor and the IRS on time. I handle that work for you.

Pricing is simple so you know what you are getting into. It starts at $100, which covers up to five forms. Each additional form after that is $10. No hourly surprises and no year-end scramble fee.

What I Do

Review the year’s payments to figure out who needs a form and for how much. Confirm I have current W-9 information on file for each contractor. Prepare the forms, file them with the IRS, and get copies to your contractors. You get a summary showing who received what.

Who Usually Gets One

1099 associate clinicians, contract clinical supervisors, consultants, and the vendors and service providers a small practice relies on. If you are unsure whether someone belongs on the list, send me the name and I will look at what the books show you paid them.

Why This Matters

Most of the stress around 1099s is not the forms themselves. It is the hunting. You start in mid January trying to remember every person you paid, digging through bank statements, texting an associate who left in June to ask for their address and taxpayer ID. The deadline is close and the information lives in six different places.

It gets harder when contractor payments were never tracked as their own category during the year. A payment to a supervisor looks a lot like any other transfer once it is buried in a bank feed. When nobody separated those out along the way, January becomes a research project instead of a filing task.

The Missing W-9

The single most common problem I see. Someone started with the practice, work got busy, and the W-9 never got collected. Now it is January and you are chasing a taxpayer ID from someone who has moved on. Collecting that form on day one takes five minutes and saves a week of follow-up later.

Guessing at Totals

If contractor payments are not tracked as you go, the year-end total becomes an estimate. That is not a comfortable place to be on a form you sign and send to the IRS. Clean records mean the number on the 1099 matches what actually left your account.

What Changes

When I keep your books through the year, 1099 season stops being an event. Contractor information gets collected when someone starts working with you, not eleven months later. Payments are coded to the right contractor as they happen. By the time January arrives, the list is already built and the totals are already right. I prepare the forms, file them, and tell you when it is done.

One thing I want to be clear about. Whether a particular person should be treated as an employee or a contractor is a decision for your attorney or your tax professional, not for me. That question has real consequences and it deserves the right expert. Once the answer is settled, the books record it accurately, and the forms follow from there. A Quiet January

No last minute hunt through statements, no awkward emails asking a former associate for their Social Security number. The information is already on hand because it was gathered at the start. You approve the list and I take it from there.
