Catch-Up Bookkeeping

For practices whose books have not been done at all. Months or years of transactions recorded, accounts reconciled, and everything brought current, without judgment about how it got this way.

When The Books Were Never Done

This service is for practice owners who have no bookkeeping to show. Not messy records, no records. The bank account has been running for eight months or three years, the sessions happened, the money came in and went out, and nobody ever sat down and recorded any of it. If that describes you, you are in the right place and you are in good company.

I hear a version of the same story most weeks. You opened the practice to do clinical work. The caseload filled. The bookkeeping was going to be a weekend project, and then there was never a weekend. If your books do exist but you do not trust what is in them, miscategorized transactions or a previous bookkeeper’s mess, that is Clean-Up Bookkeeping instead. Not sure which one you have? Not Done Versus Done Wrong

Catch-up is for the periods that were never entered. Clean-up is for periods that were entered incorrectly. Some practices need both, a stretch of missing months plus an earlier year that needs fixing. I will look at what exists and tell you plainly which one applies to you.

No Lecture, Ever

I am not going to ask why you let it go this long. Falling behind on bookkeeping is one of the most common things that happens to a private practice owner. I spent more than fifteen years as a licensed nurse in mental health, so I understand what a full clinical week takes out of a person.

How I Bring You Current

We start with a conversation, then a look at what you actually have. Bank statements, credit card statements, your practice management or EHR deposit records, and access to whatever accounting file exists. If there is no file yet, we make one. I will give you a short list of what to send and I will chase the gaps myself instead of leaving you to figure out what is missing.

From there I work period by period, oldest to newest. Every transaction gets recorded and categorized, every bank and credit card account gets reconciled month by month, and business spending gets separated from personal spending where the two got mixed. You get progress updates as I go, so you can watch the pile shrink instead of wondering what is happening.

Recorded And Reconciled

Recording alone is not enough. Reconciling is what proves the books match reality, month after month, account by account. When I hand your books back, the balances agree with your statements and you can trust the totals you are looking at.

Scoped And Priced Up Front

Catch-up work is priced per engagement, because eleven months of a solo practice and three years of a five-clinician group are very different jobs. After I see what exists, you get the scope and the price before any work starts. No open meter.

What You Have When We Finish

You have current, accurate books for every period we covered, with profit and loss statements and a balance sheet you can hand straight to your tax preparer. I do not prepare tax returns, so my job is to make sure the person who does has clean records and no follow-up questions. Most practice owners tell me the relief is the biggest part. That thing you have been carrying around in the back of your mind is simply finished.

Then we keep it that way. Most catch-up clients roll right into Full-Service Bookkeeping, where I handle the categorizing, the reconciling, and a monthly report every month, so there is never another backlog to face. Getting current once is worth a lot. Staying current is worth more.
