Payroll run dependably for practices whose payroll system is already up and running, so every pay period is processed on time and payday stops living in your head.

What This Is

This is payroll processing for practices that already have a payroll system in place. If you are running Gusto, QuickBooks Payroll, ADP, or something similar and it is set up and working, I take over the running of it. Every pay period, I gather the hours, review what is being paid to whom, process the run, and make sure your clinicians and staff are paid correctly and on schedule.

I want to be clear about the boundary right up front, because I would rather you know before we talk. I run existing payroll systems. I do not do payroll system setup, and I do not register new payroll accounts or configure a system from scratch. If your practice is already paying people through a platform, I can step in and carry it from here.

What Each Pay Period Looks Like

Hours and salary amounts collected and checked. Any changes since last time confirmed with you, like a new hire, a rate change, or time off. The run processed inside your existing system on the schedule you already keep. Then the payroll recorded in your books so your monthly numbers stay accurate.

Who This Fits

Group practices with associate clinicians and administrative staff. ABA and behavioral health practices with technicians and analysts on the schedule. Solo owners who pay themselves through payroll. Generally practices with one to ten people on the team, which is most of who I work with.

Why This Matters

Payroll is the one task in a practice that has no flexibility in it. Your team plans their rent around payday. A missed run or a wrong amount is not a small paperwork problem, it is a trust problem with the people who make your practice work. So most owners end up doing payroll on a Sunday night, or between sessions, or the morning it is due, and they carry the date around in their head all week.

Then there is the part nobody warns you about. Payroll that gets processed but never recorded properly leaves your books telling a story that is not quite true. Wages, taxes, and employer costs all need to land in the right places if you want to know what a clinician actually costs you and what your practice actually earns.

The Time It Quietly Takes

An hour here, forty minutes there, plus the mental space of remembering. For a practice owner who is also seeing clients, supervising associates, and returning calls, payroll week has a way of eating the exact hours you needed for something else.

A raise that was never entered. Overtime missed on a busy week. A new hire paid from the wrong rate. These get caught eventually, usually by the person who was underpaid, and then you are correcting the run and having an awkward conversation on top of it.

Payday stops being your problem to remember. I know your schedule, I know your team, and I run it. If something looks off, like hours that seem high or a name I have not seen before, I ask you before I process rather than after. You get a quick confirmation each period and then you go back to your clients.

Because I am also the person keeping your books, payroll and your financials stay in agreement.
