Can you keep the books for my Miami practice from California?
Yes. Every client I have works with me remotely, and I have practice owners on both coasts. We share documents securely, talk by phone or video when you have time, and your reports come to you every month. Being three hours behind you helps more than it hurts, because my afternoons line up with your evenings after the last session of the day.
My practice sees clients in Spanish and Haitian Creole. Does that change the bookkeeping?
Not really. You and I work together in English, and your books and monthly reports are in English. Deposits, private pay payments, processor fees, rent, and software all get recorded the same way no matter what language you use in the room with your clients.
What does it cost?
Monthly bookkeeping starts at $165 a month. Payroll starts at $150 a month for practices whose payroll system is already up and running. Catch-up and clean-up work is quoted per engagement once I look at what exists. You will always have a number before you commit to anything.
My books are almost a year behind. Is that too far gone?
No, and you are in good company. Falling behind while your caseload is full happens to a lot of practice owners. I record the missing months, reconcile your accounts, get you current, and then keep you there with monthly service so it does not build up again.
Do you handle taxes or insurance claims?
No. I do not prepare tax returns, and I do not do insurance billing, claims, credentialing, or coding. Your biller keeps the claims side and your tax preparer files the returns. My part is keeping your books accurate and tax-ready so both of them have what they need from you.
