Bookkeeping for Tulsa Mental Health Practices

Bookkeeping for Tulsa therapists, counselors, psychologists, and group practices. Work directly with Aretha, remotely, with books kept tax-ready all year.

Bookkeeping for Tulsa Practices

Hi, I’m Aretha. I keep the books for mental health professionals in private practice, and a good number of them are in Oklahoma. Before this work I spent more than 15 years as a licensed nurse in mental health, so when a Tulsa therapist mentions no-show patterns, sliding scale clients, or a deposit that finally showed up three weeks after the session, I already know what they’re talking about.

Everything happens remotely, and you work with me the whole way through. Full-service bookkeeping covers categorizing your transactions, reconciling your bank and credit card accounts, and sending monthly reports you can actually absorb between sessions. When a number looks strange to you, you call me and I explain it in plain language.

Monthly Bookkeeping

Transactions categorized, accounts reconciled, books closed every month. You end up with a profit and loss statement and a balance sheet that reflect your real practice, so you can see what a full week of clinical hours brings in after expenses.

Catch-Up and Clean-Up

Most owners reach out because they’ve fallen behind. Sometimes a year of transactions was never recorded. Sometimes the books exist and nobody trusts a number in them. I take it from wherever it sits, get you current, and keep it that way going forward.

Payroll and 1099s

If your payroll system is already up and running, I run it every pay period so your associates and front desk staff are paid on time. Contractor payments get tracked all year, which makes year-end 1099s for associate clinicians and supervisors a quiet January task.

Ready for Your Tax Preparer

I don’t prepare tax returns. I keep the books clean, categorized, and reconciled so your preparer has everything needed without a scramble. Deposits from your billing system get reconciled against what landed in the bank. Claims, coding, and credentialing stay with your biller.

Practices I Work With in Tulsa

Tulsa has put real attention and real money into mental health over the past several years, and you can see the effect in private practice. Clinicians who spent years at community agencies and hospital programs are opening their own offices in Midtown, along Cherry Street and Brookside, and out in Broken Arrow, Jenks, and Bixby. Psychiatric nurse practitioners are building medication management practices here too, and that corner of the field is one I know from the inside.

Bookkeeping for therapists and other mental health professionals is the only thing I do, so nothing about your day needs explaining to me. If you want to talk about where your books stand right now, book a consultation with me and we’ll go through it together.

Solo Therapists and Counselors

LPCs, LMFTs, and LCSWs who left agency work to build something of their own. For therapists and counselors, the money side is usually the last piece to get sorted out. I separate business from personal, reconcile private pay and insurance deposits, and give you a monthly picture you can rely on.

Group Practices

Once associates come on board, the books get more demanding. Compensation splits, W-2 staff alongside 1099 contractors, payroll every other week. I record it correctly so you can see margin per clinician and decide with real numbers whether hiring the next person works.

Telehealth Across Oklahoma

A lot of Tulsa practices serve clients in small towns where the nearest counselor is an hour away. Platform and EHR subscriptions, merchant processing fees, and payouts all need reconciling. I keep those records organized so the online side of your practice is as clear as the in-office side.

ABA and Behavioral Health

Practices with technicians and analysts on staff, high session volume, and remittances that arrive on their own schedule. These are the busiest books in the field and they need steady attention. Payroll runs on time and revenue gets reconciled against the work actually delivered.

Questions About This Area

You're in California. Can you keep the books for my Tulsa practice?

Yes. I work with mental health practices all over the country and everything is handled remotely. You give me access to your accounts, we talk by phone or video whenever you want, and you work with me directly the whole time. No rotating staff, no handoffs.

What does it cost?

Full-service monthly bookkeeping starts at $165 a month. Payroll starts at $150 a month for practices whose payroll system is already running. Catch-up and clean-up work is quoted per engagement once I see what shape the books are in. You get a straight number before anything starts.

Do you file my tax return?

No, I don't prepare tax returns. What I do is keep your books accurate and tax-ready all year, then hand a clean set of records to whoever prepares your return. If that person is a CPA in Tulsa, I'm glad to work with them directly.

My books are almost two years behind. Is that too far gone?

Not at all, and it's one of the most common reasons practice owners call me. We start with catch-up work, record and reconcile month by month until you're current, then move into regular monthly service so it doesn't pile up again. There's no lecture from me about how it happened.

Can you run payroll for my group practice?

Yes, as long as your payroll system is already set up and running. I process each pay period so your associates and admin staff are paid correctly and on time. I don't build new payroll systems from scratch, and I'll tell you that before we get started.

Helping the People Who Help Others

Let's Start With
a Short Conversation

Tell me where your books stand right now, even if the honest answer is that nobody has looked at them in a year. I'll ask a few questions and give you a clear idea of how I can help.
