Catch-Up and Clean-Up

Months or years that were never recorded get done period by period until you are current. Books that were kept badly get reviewed, corrected, and reconciled until the numbers are worth trusting again. Either way, no lectures about how it got here.

Payroll and 1099s

If your payroll system is already set up and running, I process it every pay period so your clinicians and staff are paid right and on time. I do not build new payroll systems. At year end I prepare 1099s for associate clinicians, contract supervisors, and vendors.

QuickBooks Online Setup and Training

I am a QuickBooks ProAdvisor, certified at Level 2 with the Gold badge. For a newer Memphis practice I set up QuickBooks Online with a chart of accounts built for mental health work, connect your accounts, and walk you through it until you feel steady using it.

Yes. Every client I have works with me remotely, and they are spread all over the country. You give me access to your bank and credit card accounts, we talk by phone or video whenever you want, and I do the work. Central time and Pacific time have never gotten in the way. Most practices settle into a rhythm of a monthly report and a quick check-in when something comes up.

What does monthly bookkeeping cost?

Full-service monthly bookkeeping starts at $165 a month. Your number depends on how many accounts you have, how much activity runs through them, and whether you add payroll or bill payment. Payroll starts at $150 a month for practices whose payroll system is already running. I quote a flat monthly rate after I look at your accounts so nothing shifts on you later.

My books have not been done since I opened. Where do we start?

We start with a look at what exists. If the months were never recorded, that is catch-up work, and I record and reconcile it period by period until you are current. If the entries are there and they are wrong, that is clean-up. Both are priced per engagement once I see the size of it. You will not hear a word of judgment from me. This happens to good clinicians all the time.

I see clients in Tennessee, Mississippi, and Arkansas. Does that make the books harder?

It adds some sorting, and it is very manageable. I keep income and expenses organized and reconciled so your tax preparer has a clear starting point for a multi-state picture. Licensure questions belong with your boards, and state filing questions belong with your tax preparer.

Do you file tax returns or handle insurance billing?

No to both, and I want to be plain about it. I keep your books tax-ready and I am happy to work with your tax preparer so they get clean numbers. Claims, credentialing, and coding stay with your biller or billing service. My part is reconciling the deposits that reach your bank against your books so you can see what you were actually paid.
