Bookkeeping for Long Beach Mental Health Practices

Bookkeeping for Long Beach therapists, group practices, and prescribers. Books kept current, clear, and ready for your tax preparer.

Bookkeeping for Long Beach Mental Health Practices

Long Beach has one of the deeper clinician communities in Southern California. Therapists with an office off Second Street, group practices up in Bixby Knolls, counselors who spent years in the community clinics or at the VA and decided to build something of their own. Bookkeeping for therapists and other mental health professionals is the whole of what I do, and practices like these are who I spend my days with.

I’m Aretha, and I’m up in Lancaster, about ninety miles north of you. We work together over video and secure file sharing, which means nothing about this requires you to drive anywhere. I do the work myself, so the person who categorizes your transactions is the same person who answers when you have a question about them. Before this, I was a licensed nurse for more than fifteen years in mental health, so you won’t have to explain your world to me.

Monthly Bookkeeping

Transactions categorized, bank and credit card accounts reconciled, and a monthly report you can actually read between sessions. Starting at $165 a month, with books that stay current and stay ready for your tax preparer.

Catch-Up and Clean-Up

Some practices call me because the books were never done. Others call because the books were done wrong. Either one is fixable. I bring everything current, reconcile it properly, and hand you numbers you can believe again.

Payroll and Year-End 1099s

If your payroll system is already up and running, I’ll run payroll every pay period so your clinicians and staff are paid right and on time. I also prepare year-end 1099s for associates, contract supervisors, and vendors.

QuickBooks Online Done Properly

I’m a QuickBooks ProAdvisor, certified at Level 2 with the Gold badge. I set up the chart of accounts around how a mental health practice actually earns and spends, then walk you through using it without the guesswork.

Long Beach Practices I Work With

The practices here are as varied as the city. Solo therapists renting a room two days a week, psychologists doing assessment and report work, psychiatric nurse practitioners running medication management, recovery counselors serving the neighborhoods they came up in. What most of them tell me sounds about the same. The clinical hours are handled. The money side keeps sliding to Sunday night and staying there.

Office space anywhere near the water costs real money, and a lot of Long Beach clinicians have gone hybrid because of it. A couple of days in the office, the rest on video, and a subscription list that grew without anyone deciding it should. Clean books make all of that visible so you can decide what is worth keeping. If your numbers have gone quiet on you, book a consultation and we can talk it through.

Solo Therapists and Counselors

One person, one calendar, and a hundred small financial chores nobody trained you for. I reconcile what your practice system deposits against your bank, keep business and personal separated, and show you what a week of clinical hours really earns.

Group Practices

Long Beach has a lot of practices with associates building hours toward licensure plus admin staff on payroll. Group practice bookkeeping means compensation recorded correctly, contractors tracked all year, and reporting that shows margin per clinician before you add the next one.

Telehealth and Hybrid Practices

Platform fees, EHR subscriptions, and merchant processing quietly take a slice of every payment. I reconcile payouts to the sessions behind them and keep the recurring costs organized so the real cost of running online is on the page.

Clinicians Coming Out of Agency Work

Plenty of Long Beach LCSWs and counselors spend years in county programs, hospitals, or nonprofits before opening a practice. If this is your first time keeping business records, I’ll get the foundation right and explain everything in plain language as we go.

Questions About This Area

Are you located in Long Beach?

No, I'm in Lancaster, about ninety miles north. I work with every client remotely, by video call and secure file sharing, so Long Beach practices get the same attention without anyone sitting on the 405. You work directly with me either way.

What does bookkeeping cost?

Monthly bookkeeping starts at $165 a month. Payroll starts at $150 a month for practices whose payroll system is already up and running. Catch-up and clean-up work is quoted per engagement after I look at what you have.

Do you prepare my tax return?

No. I keep your books accurate and organized all year so your tax preparer has what they need without chasing you for it in March. I'm glad to work alongside your CPA or enrolled agent.

Do you handle insurance billing or claims?

No. I don't do claims, credentialing, or coding. What I do is take the payments that land in your bank account and reconcile them against your books so your revenue is recorded correctly.

My books are almost two years behind. Is that too far gone?

Not even close. It's one of the most common reasons people reach out to me. We gather statements, record and reconcile period by period, and get you current, and there's no lecture about how it got that way.

Helping the People Who Help Others

Let's Start With
a Short Conversation

Tell me where your books stand right now, even if the honest answer is that nobody has looked at them in a year. I'll ask a few questions and give you a clear idea of how I can help.
