Bookkeeping for Lancaster Mental Health Practices

Bookkeeping for therapists, counselors, and practices in Lancaster and the Antelope Valley, from a bookkeeper who lives here.

Lancaster Is Home

AD Keeps The Books is right here in Lancaster. My office is on West Avenue K-13, on the west side of town, and this is the same valley I have lived and worked in for years. When a therapist in Lancaster or Palmdale reaches out, they are talking to the person who will be keeping their books.

Before this work, I was a licensed nurse for more than 15 years, most of it in mental health. Bookkeeping for mental health professionals is all I do now, and it comes from the same place nursing did, caring for the people who spend their days caring for everyone else. Nothing about your practice needs explaining to me.

Monthly Bookkeeping

Every month I categorize your transactions, reconcile your bank and credit card accounts, and send reports you can absorb in a few minutes. Your books stay current and stay ready for your tax preparer, which keeps April quiet.

Catch-Up and Clean-Up

If the books have not been done in months or in years, we start there and bring them current. If they were kept but nobody trusts the numbers, I find what went wrong and fix it properly. No lectures about how it got this way.

Payroll and 1099s

For practices with staff, I run payroll on schedule when the payroll system is already set up. At year end I prepare and file 1099s for associate clinicians, contract supervisors, and vendors.

QuickBooks Set Up Right

I am a QuickBooks ProAdvisor, certified at Level 2 with the Gold badge. If you are opening a practice here or starting your books over, I will set up QuickBooks Online for the way a mental health practice really runs and teach you how to use it.

Practices Across the Antelope Valley

Lancaster shares the Antelope Valley with Palmdale, Quartz Hill, Rosamond, and a lot of open desert in between. The need for mental health care up here runs ahead of the number of clinicians available, so the therapists, counselors, psychologists, clinical social workers, and psychiatric nurse practitioners who do practice here tend to carry full schedules.

Most of these practices have one to ten people, with the owner handling scheduling, notes, and the bank account after hours. Steady monthly bookkeeping is what takes that last piece off the pile. If your practice is in Lancaster or anywhere else in the valley, book a consultation with me and tell me where things stand.

Therapists and Counselors

Most of my clients are therapists and counselors in private practice, often one clinician with a full caseload. Private pay and insurance deposits arrive on their own rhythms, and I reconcile them so the numbers match what really happened.

Clinical Social Workers and Addiction Counselors

Many clinicians here spent years in agency and county work before opening their own practice. If this is your first time keeping business records of your own, I will get the foundation in place and hold it steady from there.

Group Practices and ABA Providers

Practices with associates, behavior technicians, and admin staff have the most moving parts. Payroll run on time, contractor payments tracked all year, and reporting that shows what each clinician brings in so you know whether the next hire pencils out.

Telehealth Practices

The valley is spread out and driving eats the day, so a lot of clinicians here see clients online. Platform and EHR subscriptions, payment processor fees, and payouts all get reconciled instead of guessed at.

Questions About This Area

Are you actually based in Lancaster?

Yes. My office is on West Avenue K-13 here in Lancaster, and this is where I live and do the work. I keep books for practices all over the country, and I am always glad when the practice happens to be down the road.

Can we meet in person?

If you are local, we can. Plenty of Lancaster clients still choose a video call or a phone call because it fits better between sessions. Either way, you are working with me directly and not a rotating team.

What does bookkeeping cost for a Lancaster practice?

Full-service monthly bookkeeping starts at $165 a month. Payroll starts at $150 a month for practices whose payroll system is already up and running. Catch-up and clean-up work is quoted per engagement once I have looked at what exists.

Do you prepare tax returns?

No. I keep your books tax-ready and organized so your tax preparer can work straight from them without chasing you for missing pieces. If you do not have a preparer yet, clean books make that conversation a lot easier.

Do you handle insurance billing or claims?

No. I do not do billing, claims, credentialing, or coding. What I do is take the payments and deposits that land in your accounts, reconcile them, and show you what actually came in each month.

Helping the People Who Help Others

Let's Start With
a Short Conversation

Tell me where your books stand right now, even if the honest answer is that nobody has looked at them in a year. I'll ask a few questions and give you a clear idea of how I can help.
